Ask the right contact
Send the request to the facility contact on the stop
The request goes to the appointment email set on that stop. With none set it falls back to the customer's appointment-flagged email, then to their main address. The letter names your own company, the order and stop, the facility and its address, and the freight.

The receiver replies and the stop is scheduled
They open a form from the email — no account, no portal — and pick a date, a time and a note. The reply writes that date and time onto the stop, moves the appointment to Approve for your dispatcher to accept, and lands in the customer's message thread against the order and the stop.

If the slot they picked does not fit, send a second request proposing a From and Till window. Their answer is marked as inside or outside the range you asked for, and threads onto the first reply as one conversation.
